Every Tool I Use To Run My Freelance Copywriting Business in 2026

This blog is to spare you the embarrassment of a horribly run business with no real clients. You won’t have to make the mistakes I did, and I’m jealous of you for that.

Booooo.

I started my Freelance Copywriting Journey in 2024, and it was a flop. I acquired zero clients, and I was to blame. I didn’t have an acquisition strategy, and zero systems were put in place.

I had no way to set up calls, what questions to ask, a way to invoice them, hell, I didn’t even know how long a project would take me. While I’m all for messy action, that would have been the absolute worst experience if they hired me.

So with that being said, I am so happy I didn’t get any clients because they would have hated my ass.

In 2025, I made major changes. I invested in copywriting courses, upgraded my tech stack, and most importantly, added systems.

So let me tell you, Every Tool I Use To Run My Freelance Copywriting Business:

Toggl

I use this to track my time. If I don’t create time blocks for myself, I will not accomplish anything. I cannot stand people who have natural discipline. My discipline is man-made; I have to build timeblocks.

Notion

I organize my entire business on this website. I've tried so many project management systems, but nothing comes close to Notion. It's so customizable, and once you find your groove, running a freelance business becomes a breeze.

I have the business plan for $20 a month. The storage this plan offers is beyond necessary.

Dubsabdo

I used to manage my client projects from scheduling, invoicing, contracts, and more. I’m sure there are other great CRM systems out there, but I wouldn’t dare use anything else. I have also received compliments from clients because of how user-friendly this platform is on their end.

My current plan is $40 a month. It's a major investment, but I wouldn’t want to handle client projects any other way.

Dubsado Template

Speaking of Dubsado. The platform offers templates, but I needed one that was a bit more my speed. Also, I had zero desire to learn to code.  I invested in Templates from The Passions Collective and customized them to my branding. I felt so official adding these to my

Google Docs

I don’t try to do anything fancy with client projects. Each client gets all of their copy via Google Docs. There's no need to try to make clients learn every new app or website that comes out. The steeper the learning curve for working with your systems, the worse the experience.

Google Doc’s allows a very easy way to leave comments, make edits, and have live interactions.

Google Calendar

For everything going on in my business, I put it on the calendar. I even block time to scroll on Instagram to find other clients. I don't care if it’s not even business-related; it's getting put on the calendar.

Site Series

Writing a website for myself was one of the hardest things I’ve ever done. I do it for clients all of the time, but I needed an expert when it was time for me. So I invested in a Website Copywriting course, and not only did I write a better website for myself, but this made the websites I now write for clients 10x better.

As a professional, you will need help along the way. Even in your own expertise. I have no notes. This was the best investment I made early on.
